This role will report in our headquarters located in Walnut Creek, CA.

Your Opportunity

We are looking for an amazing Executive Assistant who will serve as a key player in the business. You are the strategic business partner and right hand to the Chief Financial Officer. As an Executive Assistant, you will always support the Chief Financial Officer to stay organized and aware of all critical items.

The ideal candidate should be someone who thrives independently multi-tasking and managing several projects with competing priorities/deadlines and is obsessed with detail and organization. We place culture and attitude above all.  You will deal with highly confidential and critical info, so integrity and trust must be in your DNA.  


  • Provide administrative assistance, such as taking meeting minutes, writing, and editing emails, drafting memos, and preparing communications on the executive's behalf.
  • Step into meetings on behalf of the CFO, if necessary.
  • Support offices in different regions (Toronto, Armenia, and US) which means working amongst different time zones to schedule and attend meetings.
  • Maintain comprehensive and accurate corporate records, documents, and reports.
  • Perform minor accounting and bookkeeping duties.
  • Manage the executive's day-to-day calendar, including scheduling meetings, sending reminders, and prioritizing the most sensitive matters.
  • Act as gatekeeper and escalate relevant information to executives as needed.
  • Organize, compile, update company personnel records and documentation.
  • Create and submit expense reports.
  • Complete and assist with other tasks as assigned.

Experience & Education:

  • Bachelor’s degree required.
  • 1-2 years relevant experience or training.
  • Strong organizational skills and ability to multitask.
  • Strong Problem-solving and decision-making skills.
  • Ability to work effectively with minimal supervision.
  • Ability to treat confidential information with appropriate discretion.
  • Excellent execution and obsession to detail and organization.
  • Excellent writing, communication, and interpersonal skills.
  • Ability to handle multiple tasks simultaneously in a high-growth, fast-paced environment.
  • Strong teamwork, collaboration, flexibility and proactiveness.
  • “Roll-up the sleeves” approach in order to accomplish all necessary tasks.
  • Commitment to excellence and impeccable ethical standards and integrity.
  • Knowledge of Microsoft programs (Outlook, Word, Excel, PowerPoint etc.).
